Privacy Policy
This policy explains how Vircon Cleaning Services LLC (“Vircon”, “we”) handles information when you visit this website, request a quote or email us.
Information you give us
When you request a quote, we receive the details you enter:
- your name, email address and phone number;
- your ZIP code and details about the property, such as its type, size, rooms, pets and stairs;
- the service, schedule and add-ons you are interested in, and any notes you write;
- photos of the space, if you add them.
We also record the date, your IP address and your browser type with each request, to protect the form against abuse.
How we use it
We use this information only to review your request, prepare your estimate, contact you about it and provide the services you ask for. We do not sell your information.
Photos
Before a photo is stored, we remove its hidden data, such as the location where it was taken and the device used. Photos stay on our server: they are not sent by email and are never published on this website.
Access codes and payment details
Please do not include door codes, alarm codes, key locations or payment details in the form or by email. If an access code is written in the notes, we hide it automatically.
If you become a client
To schedule and bill your cleanings, we also keep:
- the address to be cleaned and how to get in (we never store door or alarm codes);
- your cleaning plan, the dates of your visits and notes from our team about each visit;
- your charges and payments.
If we invite you to our client portal, we store your email address and your password. The password is stored only in a form that cannot be read back, and we use a cookie that keeps you signed in. It is needed for the portal to work and is not used for tracking.
Payments
Card payments are processed by Stripe. Your card number is entered on Stripe and stored by Stripe, not by Vircon. We only keep the card brand, its last four digits and its expiration date, so you and we can tell which card is on file. Stripe handles payment information under its own privacy policy.
Where it is kept and for how long
Quote requests are stored on our own server, and their details (without photos) are sent to our business email so we can reply. Only Vircon and our website administrator can access them. Requests and their photos are deleted automatically from our server after 12 months. Backup copies of our server are kept for a limited time and are then overwritten.
This website
We use Google Analytics, a service from Google, to understand how people find and use this website: which pages
are visited, how visitors arrived (for example, from a search), and general information about the device, the
browser and the approximate location, such as the city or region. Google Analytics sets its own cookies in your
browser (named _ga and _ga_…) to tell visits apart.
We also count, without any personal details, when someone starts the quote form and which of its steps they reach, when a quote request is sent or could not be sent (only a technical error code), and when someone taps our phone number (on a phone or tablet) or our email address, so we know how people prefer to contact us and where the form gets in the way.
Google Analytics does not receive what you type in the quote form: your name, email, phone number, address and photos come only to us. Google handles this information under its own policies for sites that use its services.
You can block these cookies in your browser settings or with Google's opt-out browser add-on. The website works the same without them.
